Please read these Terms and Conditions carefully before using TheMedZone platform. By accessing or using our services, you agree to be bound by these terms.

1. Acceptance of Terms

TheMedZone ("Platform", "we", "us", "our") provides an online appointment booking platform connecting patients with healthcare service providers including but not limited to:

  • Doctor
  • Hospital
  • Pharmacy
  • Urgent Care
  • Harm Reduction
  • Laboratory
  • Radiology Centre
  • Physical Therapy
  • Chiropractor
  • Veterinarian
  • Ophthalmologist
  • Cannabis

By accessing, registering, or using TheMedZone platform, mobile applications (Android & iOS), or any related services, you agree to be bound by these Terms and Conditions.

2. Definitions

"Platform"
TheMedZone website, mobile applications, and associated services.
"Patient"
Any individual who registers on the platform to book appointments.
"Service Provider"
Healthcare professionals and facilities offering services through the platform.
"Dashboard Services"
Hospital, Pharmacy, Cannabis, and Veterinarian services that have personal dashboards.
"Basic Services"
All other services without personal dashboards.
"Completed Appointment"
An appointment that has been conducted and marked as completed.

3. Platform Services

TheMedZone is a technology platform that facilitates connections between patients and healthcare service providers. We are NOT a healthcare provider and do not provide medical advice, diagnosis, or treatment.

Important Disclaimer

TheMedZone does not guarantee the quality, suitability, or availability of any service provider. Patients must exercise their own judgment when selecting service providers.

4. User Registration

4.1 Patient Registration
  • Patient registration is free of charge
  • Available on both Android and iOS mobile applications
  • Patients must provide accurate and complete information
  • Patients must be at least 18 years old or have parental consent
  • Patients are responsible for maintaining account security
4.2 Service Provider Registration
  • Service providers must pay a registration fee
  • Registration fees vary by service type
  • Providers must provide valid credentials and licenses
  • Platform reserves the right to verify provider credentials

5. Service Providers

5.1 Dashboard Services

The following services have access to personal dashboards:

  • Hospital - Full dashboard access
  • Pharmacy - Full dashboard access
  • Cannabis - Full dashboard access
  • Veterinarian - Full dashboard access
5.2 Basic Services

All other services operate without personal dashboards and manage appointments through standard platform interfaces.

5.3 Provider Responsibilities
  • Maintain current licenses and certifications
  • Provide accurate service information and availability
  • Respond to appointment requests in a timely manner
  • Maintain professional conduct and quality standards
  • Comply with all applicable laws and regulations

6. Patient Terms

  • Patients can book appointments with any available service provider
  • Patients are responsible for providing accurate health information
  • Patients must arrive on time for appointments
  • Patients should cancel appointments at least 24 hours in advance when possible
  • Patients are responsible for payment of services rendered
  • Patients should review service provider ratings and reviews

7. Appointments & Bookings

7.1 Booking Process
  1. Patient selects desired service type
  2. Patient searches for available providers
  3. Patient selects preferred date and time
  4. Patient confirms booking
  5. Provider receives booking notification
  6. Provider confirms or reschedules appointment

8. Payments & Billing

8.1 Patient Payments
  • Patients pay for services directly to service providers
  • Payment methods vary by provider
  • Platform may facilitate payment processing
  • All payments are subject to provider's terms
8.2 Doctor Billing System
Automatic Daily Billing

For doctors, TheMedZone operates on an automated daily billing system:

Billing Process:
  1. System calculates completed appointments daily at 11:59 PM
  2. Charge calculation: Appointment Fee × Number of Completed Appointments
  3. Example: If doctor's rate is $100 and had 10 completed appointments → $1,000 charge
  4. Payment is automatically processed using doctor's default payment method connected via Authorize.Net
  5. Invoice is generated and sent to doctor's registered email
Doctor's Responsibilities:
  • Maintain valid payment method in Authorize.Net
  • Ensure sufficient funds/credit for daily charges
  • Review daily invoices for accuracy
  • Report discrepancies within 48 hours
  • Update payment method information as needed
8.3 Service Provider Fees

All service providers (except patients) pay platform fees which include:

  • Registration fees (one-time)
  • Monthly subscription fees (if applicable)
  • Transaction fees (percentage of bookings)
  • Premium feature fees (optional)

9. Cancellations & Refunds

9.1 Patient Cancellations
  • Cancellations made 24+ hours in advance: No charge
  • Cancellations made 2-24 hours in advance: 50% charge
  • Cancellations made less than 2 hours in advance: Full charge
  • No-show appointments: Full charge + possible service restrictions
9.2 Provider Cancellations
  • Providers should cancel appointments as early as possible
  • Emergency cancellations may be excused with documentation
  • Frequent cancellations may affect provider ratings
  • Platform may impose penalties for excessive cancellations
9.3 Refund Policy
  • Refunds processed within 7-10 business days
  • Refund method same as original payment
  • Platform fees are non-refundable
  • Disputed charges investigated within 30 days

10. Privacy & Data Protection

11. Intellectual Property

  • TheMedZone name, logo, and platform are proprietary
  • Content on the platform is protected by copyright
  • Users grant limited license for content submission
  • Unauthorized use of platform content is prohibited
  • Trademarks must not be used without permission

12. Limitation of Liability

Important Limitations
  • TheMedZone is not liable for provider services or medical outcomes
  • Platform liability limited to fees paid in last 6 months
  • Not liable for indirect, incidental, or consequential damages
  • Not liable for system outages or technical issues
  • Not liable for user misconduct or unauthorized access

13. Termination

13.1 By User

Users may terminate their account at any time by contacting support. Outstanding fees must be paid before termination.

13.2 By Platform

We may terminate or suspend accounts for:

  • Violation of these terms
  • Fraudulent activity
  • Non-payment of fees
  • Legal or regulatory requirements
  • Platform security concerns

14. Changes to Terms

  • We may update these terms periodically
  • Users will be notified of material changes
  • Continued use after changes constitutes acceptance
  • Review terms regularly for updates
  • Date of last update displayed at top of page

15. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of [Your State/Country], without regard to its conflict of law principles.
